Hi,
I have created a workflow that sends out reminders at 2 months/ 1 month before contract expiry date. After long thought about this it was decided that the workflow would have to be run manually against the appropriate records - this is done by creating two views (with filtering) one that shows contracts ending within 2 months and another for 1 month. When the workflow runs it ticks a 1 or 2 month reminder sent box which moves the records out of that view.
when the expiry date is changed, those boxes are reset and the process can start again.
The reason we couldnt make it automatic - running on create and change of expiry date - is incase someone changed the date before any reminders have sent leaving the current workflow in a waiting state and kicking of a new one - risk of multiple reminders being sent out. The people running the workflows cannot go and delete previous workflows so an old workflow may at some point start sending out emails - cant be risked since the emails are to clients.

Problem now is that the emails need to be sent from a specific adress. A few users have full access to this mailbox, but they are not administrators in CRM. The workflow will not send emails on someone elses behalf unless the workflow is executed by an administrator. We cannot risk the option of letting those users have the privilege 'send email as another user' - even if there are rules set on exchange (even if emails wont send if they tried to abuse the privilege for another adress, it will show up in CRM like it had which is a potenital issue that we will be responsible for)

Please offer any ideas of how we can get round this, either by making the workflow automatic, or a way to make the workflow act like its executed by an administrator.
