One Key Process Introduction
The One Key Process is an enterprise temporary assigned help resource system. The
premise of the One Key Process© is to maximize the cost of processing the very complex
time and materials, expenses and per Diem for the temporary variable work force. This
system allows greater nearly real time billing back to customers allowing the time of
receivables collections to be decreased therefore increasing revenue. The One Key
Process will also process the required transactions virtually redirecting valuable
accounting resources. This One Key Process will stop union labor contract fines and
penalties by allowing the end of job remuneration payment reconciliation. The One Key
Process will minimize medical claims through identifying possible problem employees
before they are employed and also by having the capability to effectively manage medical
claims and decreasing medical claims expenses and liabilities. The System is composed
of the following modules, Dial Tone Access Data© (DAD), Employee Operational
System, Customer Service Module (CSR) and the Project Operational Module (POM).
The One Key Process system integrates with any financial system enabling maximum
effectiveness. The One Key Process system is deployed from high speed server clusters
in a Microsoft Certified data center. The system can accommodate hundreds of thousands
employees simultaneously. The system is designed for high availability across a 24/7 work day.
Dial tone Access Data (DAD)
The DAD system is TRP’s enterprise solution enabling scalable and efficient
communications with TRP’s variable work force. Employees can call a 1-800 number
and quickly enter their “current” or “forecasted” available dates for work. This
information is updated in real time to the TRP Employee Operational System (EOS)
allowing TRP’s customer service representatives the ability to place them on an open job.
DAD also allows employees payroll issues and per diem statuses. DAD will alert
employees of various safety certifications that require renewal when they call in allowing
all emplo yees to have time to get recertified for safety. DAD will also call employees
notifying them of various information pertaining TRP operations.
The DAD system can handle unlimited inbound and out bound calls. The DAD system is redundant and highly available for 24/7 global operations.
Employee Operational System (EOS)
The EOS is TRP’s solution to managing a variable, flexible temporary work force. TRP’s
temporary staffing methodology is to provide quality rather than quantity. TRP has
decades of experience in managing “human capital” working in the mill wrights industry
and has designed the EOS to enable TRP to provide quality labor for their clients” needs.
The thought process of the EOS is to have a “real time” resume of factual historical
information on every TRP employee. This information is accumulated by the work
performed by each employee. TRP tracks each employee’s skill sets, safety certificates,
and experience with types of equipment. EOS tracks the work that has been performed by
equipment, and/or by client, as well as site specific work experience. TRP also tracks
employees ’reviews, which are submitted by client project managers or by TRP customer
service representatives thereby allowing positive or negative feedback to be tracked by
employee, client, or job providing the proper decisions to be made for future jobs.
Because the EOS is integrated with various Safety Councils and updated nightly with all
employees’ certifications, TRP will not send employees to a job with improper safety
certifications. This information also provides TRP the ability to have the required safety
data on all employees in real time, which is used to notify the employee regarding his
need to get re-certified for safety training. This data also includes the actual safety
certifications the employee has for the various site specific, skill assessment and safety training.
Customer Service Module (CSM)
The CSM module allows TRP the ability to establish all billing rules by customer. The
billing rules will allow the ONE KEY PROCESS© the ability to be flexible on the billing
rules per job. Currently the CSM has 23 billing rules allowing the billing flexibility
needed across some of TRP’s major clients. This module also controls what the
customers have access to when they log into the ONEKEYPROCESS© system. Once the
client’s job is completed, all time and expense information can be entered in to the
customer portal (web site) providing an immediate creation of an invoice (for the
Customer). This “real time” invoicing will create faster payment of receivables.
Project Operational Module (POM)
The POM is TRP’s solution for operating in the very dynamic temporary labor industry.
The POM enables TRP to track all projects, jobs and employees on the jobs. Each
customer may have different billing rules, but all of the billing rules are contained in the
CSR module. The POM allows real time invoicing to the customer, which reflects the
correct expenses of the employee’s time and attendance.
All of the financial information is integrated into a Financial Accounting system enabling
Accounts Receivable, Accounts Payable, Payroll and the General Ledgers to have the
current financial information. The system also has the capability to handle per diem costs.
Per diem is electronically paid to a ATM cards. When a job ends early, per diem
is also automatically reconciled and the employee’s paycheck reflects the credit or debit
adjustment. This feature is very advantageous for a Union Employee payroll and
eliminates the subsequent fines to the client when payment of employees is not timely.
